Location: Israel Remote and in person 1-2 days a week

Job Summary:
We are seeking a reliable and detail-oriented Medical Biller / Payroll & Bookkeeping Specialist to join our all-virtual mental health group practice. This role is critical to ensuring timely insurance reimbursement, clinician payroll processing, and financial oversight through spreadsheets and light bookkeeping. The ideal candidate has experience working in mental health billing, is organized, proactive, and communicates clearly with the rest of the administrative team.
Key Responsibilities:
Medical Billing
- Submit and track insurance claims across multiple carriers (including Medicare/Medicaid, Aetna, BCBS, Cigna, Optum/UHC, etc.)
- Ensure timely and accurate posting of EOBs and client payments
- Identify, troubleshoot, and resolve claim denials and rejections
- Monitor outstanding balances and follow up on aging claims (A/R reports)
- Maintain accurate billing records and reconcile monthly payments
- Communicate regularly with insurance representatives for eligibility, authorizations, and clarifications
Payroll & Bookkeeping
- Process twice-monthly payroll for clinicians and admin staff (using Paychex or similar system)
- Track sessions billed vs. sessions paid to inform payroll accuracy
- Maintain records of bonuses, fee splits, supervision time, and overtime
- Support reconciliation of incoming payments and bank transactions
- Prepare financial reports and spreadsheets related to billing, payroll, or income trends
Practice Support
- Coordinate with the Office Manager on clinician schedules and missed sessions
- Alert the team to any underbilling, clinician documentation gaps, or incorrect coding
- Maintain spreadsheets for KPI tracking (e.g., billed vs. paid sessions, no-show rates, insurance mix)
Qualifications:
- 8+ years of experience in medical billing (preferably mental health)
- Familiarity with EHR systems (e.g., TherapyNotes, SimplePractice, or equivalent)
- Proficiency in Excel/Google Sheets
- Experience processing payroll and/or using payroll platforms like Paychex
- Strong communication and problem-solving skills
- High attention to detail, self-driven, and deadline-oriented
- HIPAA compliant and understands client confidentiality
