The role of the Operations Manager is to be in charge of logistics operations of the tours and
programs at the Department of Tours and Partnership. The purpose of this position is to create
the logistic infrastructure for the department’s educational programs and to facilitate the
operational side of service we will be offering our clients. The responsibilities of the Operations
Manager is to work closely with the team of educators, maintain relationships with the vendors
and to act as the key person, responsible for overall program implementation.
Responsibilities include:
- Creating the bookings of all operational suppliers - hotels, transportation, manpower, activities and meals
- Recruit, manage and supervise all aspects of the relationships with the suppliers
- Enable top level logistic service to the programs and good relationship that supports it
- Assisting Program Directors with day-to-day logistic preparations
- support for tours
- Recruitment of tour guides, madrichim and security guards including payroll
- Organizing staff seminars
- Finding logistic solutions for ongoing running of programs, often in periods of tight deadlines and pressure
- The Operations Manager should know how to handle and manage situations and to work independently as well as with the program staff.
- Organizing the department’s proprietary tourism knowledge-base, creating partnerships with suppliers, guides, tour educators, social madrichim, tour sites, connections with hotels, activities and other service providers. It’s imperative to maintain a good relationship with all the above in order to create and control the running of all programs and products.
- Management of cash flow, and budget to enable the department’s commitments to suppliers and partners and to create a functional system of payments.
- The Operation Manager works closely with the Department Director to insure profitability and stability, timely income and expenses and proper management of funds.
- Receiving all information and details needed for the program from our clients and any outside logistics operating provider. This central responsibility reflects the heart of the Director-School relationship.
- The Operations Manager will be responsible to obtain information and answers from vendors and partners, in real time, so knowledge will be efficiently transferred to the Director of Programs and for the process to be internally secured and managed.
- The Operations Manager will be supervised by the CFO of the organization and will assist in developing new projects, new groups and relationships as well as other departmental requirements.
- The Operations Manager will possess a broad view of the operational, logistic and administrative needs of the department and will be prepared for a possibility of expanding the role to Operations Director for in-house management of all of the department’s programs.
