AIA Billing Specialist

Looking for a team player with a strong ability to multi-task, with experience working in a fast-paced environment, an ability to work independently and problem-solve with minimal help as well as function as part of a team and have strong organizational skills for our Accounts Receivable Department. Our candidate must provide financial, clerical and administrative services to ensure efficient, timely and accurate payments of their accounts.

Duties And Responsibilities

  • Reports directly to Credit & Collections Manager
  • Maintaining and reconciling credit accounts, using an accounts receivable aging
  • Soliciting payments on overdue accounts by making collection calls, emails and/or facsimile and report to A/R Manager to verify status of delinquent accounts
  • Processing account adjustments (for taxes, discounts, corrections)
  • Answering the credit hotline along with Accounts Receivable team (releasing orders and adding job and tax information to accounts to support the sales team)
  • Obtaining and processing pre-liens and providing lien waivers/releases
  • Processing new credit applications for credit to give to Credit Manager for final approval (obtaining trade credit reference info, contractor license info, tax info)
  • Processing customer payments and customer refund requests
  • Obtaining certificates of insurance
  • Providing reporting and backup support to other groups in the accounting department (Controller & Finance Manager) and performing other general administrative duties
  • Analyzing customer payment plan, payment history, and credit line
  • Other duties assigned

Knowledge, Skills, And Abilities

  • Understanding of credit and accounting procedures and logic
  • Proven experience with AIA construction billing documents, accounts payable applications, funding requests, cash flow analysis and account reconciliation.
  • Literate in Construction Material
  • Microsoft Office (Excel, Word & Outlook)
  • Excellent customer service skills
  • Professional written and verbal communication skills
  • Strong attention to detail and ability to multi-task in a fast-paced work environment
  • Self-Motivated

Experience Required

  • 3+ years of experience in a construction environment – accounting/cost experience, AR or Project Management experience in Construction.
  • Must be familiar with AIA and progress Billing
  • General computer skills,
  • Familiarity with accounting software systems (Microsoft Dynamics NAV, Textura, Procore, GCPay)
