About the Role
INNOVA is seeking an exceptionally organized, proactive, and highly trustworthy Personal Assistant to the CEO.
This is a fast-paced and high-responsibility role that requires outstanding organizational skills, sound judgment, discretion, and the ability to anticipate needs before they arise. The Personal Assistant will serve as a trusted partner to the CEO, managing a wide range of executive, administrative, operational, legal coordination, vendor management, and personal responsibilities to ensure the CEO can focus on strategic priorities and company growth.
The ideal candidate is resourceful, detail-oriented, adaptable, and capable of managing multiple priorities simultaneously while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities:
Personal Assistance
- Provide confidential personal assistance to the CEO as needed.
- Coordinate personal appointments, reservations, travel arrangements, and errands.
- Assist with personal projects while maintaining complete confidentiality.
- Handle sensitive personal matters with professionalism, discretion, and sound judgment.
- Household vendor/staff coordination (cleaners, contractors, deliveries)
- Managing household calendar/appointments/logistics and errands
- Assist in maintaining a professional office environment, including coordinating routine office maintenance and ensuring shared executive amenities, such as the coffee machine, are stocked, clean, and operational.
Administrative Management
- Coordinate office logistics related to the CEO’s activities.
- Monitor deadlines and ensure timely completion of high-priority tasks.
- Develop and improve executive administrative processes for greater efficiency.
- Coordinate with vendors and service providers.
- Negotiate pricing, compare options, and ensure vendors deliver high-quality service.
- Support the CEO with administrative decision-making by gathering information, comparing quotes, and preparing recommendations.
Operational & Project Coordination
- Coordinate internal and external meetings across multiple time zones.
- Prioritize competing requests and proactively manage scheduling conflicts.
- Ensure the CEO is prepared for meetings with relevant materials, summaries, documents, and background information.
- Coordinate cross-functional projects and follow up with department heads to ensure deadlines are met.
- Maintain organized records, documents, contracts, reports, and confidential files.
- Prepare documentation and ensure all logistics are handled efficiently and seamlessly.
- Manage last-minute changes and solve issues quickly and professionally.
Qualifications
